The Wedding Studio ManagerPrivacy Policy
How we collect, use, and protect your personal data — in line with UK GDPR and the Data Protection Act 2018.
Last updated: August 2026
1. Who we are
The Wedding Studio Manager ("we", "us", "our") operates a studio management platform for wedding professionals. We are the data controller for the personal data you provide to us through this website and app.
2. What data we collect
We only collect the data we need to run the service for you:
- Account data: your name and email address when you register.
- Studio data: the bookings, leads, contacts, financials, schedules and notes you enter into the app. This is data you choose to store and belongs to your studio.
- Payment data: handled by our payment provider, Stripe. We do not store your full card details — only a secure reference to your subscription.
- Newsletter data: your email address if you subscribe to our updates.
- Usage data: basic, anonymised analytics about how the app is used so we can improve it.
3. Why we process your data
We process your data under the following lawful bases:
- Contract: to provide the service you signed up for and to manage your subscription.
- Legitimate interests: to keep the service secure, prevent fraud, and improve features.
- Consent: for newsletter updates and non-essential analytics. You can withdraw consent at any time.
- Legal obligation: to keep billing records where required by tax law.
4. Who we share it with
We do not sell your data. We share it only with trusted processors that help us run the service:
- Stripe — to process subscription payments.
- Cloud hosting & database providers — to store and serve your studio data securely.
- Email & analytics tools — to deliver updates and understand usage.
Each processor is bound by contract to keep your data safe and to use it only as we instruct.
5. How long we keep it
We keep your studio data for as long as your account is active. If you cancel your subscription, we give you a grace period to export your data, after which your studio data is permanently deleted. You can export your bookings, leads and financials as CSV files at any time from your billing page.
6. Your rights under UK GDPR
You have the following rights over your personal data:
- The right to be informed about how we use your data.
- The right of access to a copy of your data.
- The right to rectification if your data is inaccurate.
- The right to erasure ("the right to be forgotten").
- The right to restrict or object to processing.
- The right to data portability — you can export your data and take it with you.
- The right to withdraw consent at any time.
To exercise any of these rights, contact us using the details below.
7. International transfers
Some of our processors may operate outside the UK. Where this happens, we rely on appropriate safeguards such as UK International Data Transfer Agreements or the EU–UK adequacy regulations to ensure your data is protected to UK standards.
8. Data security
We take reasonable technical and organisational measures to protect your data, including encryption in transit and at rest, access controls, and regular reviews. See our Security page for more detail.
9. Cookies
We use only essential cookies to keep you logged in and the app working. We do not use tracking cookies for advertising.
10. Changes to this policy
We may update this policy from time to time. We will notify you of any significant changes and update the date at the top of this page.
11. Contact & complaints
If you have a question about your data or wish to exercise your rights, contact us at support@theweddingstudiomanager.com. If you are unhappy with our response, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
